Privacy policy

This explains what personal information Mappyz Taxiz collects when you book a taxi with us online, why, who we share it with, and your rights. We keep it to what we need to get you from A to B.
Who we are
Paul Mapstone trading as Mappyz Taxiz is the data controller for the information described here. You can contact us about anything in this policy:
- Email: [email protected]
- Phone: 07496853483
- Post: 4 Touch Wards, Dunfermline, Scotland
ICO registration number: [ICO registration number — to be completed].
What we collect
- Your contact details — name, mobile number and email address.
- Your journey — pickup and dropoff addresses (and their map positions), the time you want to travel, trip type, any notes you add, the fare, and a record of each stage of the journey (for example when the driver arrived).
- Technical information — your IP address and browser details in our server logs, and the cookies described in our cookie policy.
We don't track your location. The only locations we hold are the addresses you enter. While your journey is under way, we show you your driver's location — not the other way round.
Why we use it, and our legal basis
- To arrange and carry out your journey — finding a driver, giving them your pickup details and number, and sending you a confirmation email. Legal basis: it's necessary to provide the service you've asked for (contract).
- To keep records of journeys — for passenger and driver safety, handling complaints and lost property, resolving fare disputes, and meeting our taxi licensing obligations. Legal basis: our legitimate interests, and legal obligations where our licence requires records.
- To keep the service secure — for example, limiting repeated automated requests. Legal basis: our legitimate interests.
We don't use your details for marketing, and we never sell them.
Who we share it with
- Your driver — your name, phone number, pickup and dropoff, and any notes. For a booking made in advance, your driver is also emailed a calendar invite for the job with your name, pickup, dropoff and time (not your phone number), so it appears in their own calendar.
- Our dispatch staff — to manage bookings and help if something goes wrong.
- Service providers who run our systems for us, only as needed for the service:
- our web hosting provider, which runs the servers this site uses;
- Neon, which hosts our booking database in London;
- our email provider, which delivers your booking emails;
- OpenStreetMap-based map services — the text you type into the address boxes is sent to an address search service (Photon, run by komoot) to suggest matching addresses, the pickup and dropoff positions are sent to a routing service (OSRM) to work out the distance and fare, and your browser loads map images from OpenStreetMap's servers. None of these receive your name or contact details.
- Others where the law requires it — for example the police or our licensing authority.
Where your information is stored
Our booking database is in the UK. Some of the providers above may process information outside the UK (for example, an email provider with servers abroad). Where they do, they are covered by UK adequacy regulations or the UK's approved international data transfer safeguards.
How long we keep it
12 months after your journey, we automatically remove your personal details from our booking records — your name, phone number, email, addresses and notes. We keep an anonymous record of the fare, date and driver for 7 years, because tax law requires business records to be kept that long. If you have an account with us, the account itself stays until you ask us to delete it. The cookies used to track your booking expire after 6 hours.
Your rights
You have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct anything that's wrong;
- ask us to delete your information, where we don't need to keep it;
- object to, or ask us to restrict, how we use it;
- ask for your information in a format you can take elsewhere.
To make a request, contact us using the details above. We'll reply within one month. It's free unless a request is clearly unfounded or excessive.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
If we change how we use your information, we'll update this page and the date at the top.
